LumWork, also known as “LumApps Workflow,” was used over the past few years by integrating with “Google Apps for Work” to create applications, define custom workflows, and validation processes. However, today, it’s clear that LumWork no longer has a promising future, as evidenced by the lack of updates, a status page that has been stagnant for two years, and Google’s transition from “Google Apps for Work” to “Google Workspace.”

Companies have sensed this shift and have naturally started their transition by choosing AppSheet, which is also included in Google Workspace and not only replaces but enhances validation processes, workflows, and applications. Most of the migrations to be undertaken involve validation workflows. These are defined in two steps:

1. The Form

LumWork

In LumWork, form fields are defined with associated data types and simple controls over this data (such as minimum/maximum value checks). However, we have observed that the lack of detailed control options and the non-customizable form interface in LumWork has led to validation processes that do not fully meet clients' needs. This often forces clients to adapt to the tool and include lengthy explanatory texts in the form for users.

AppSheet

With AppSheet, we have been able to create truly customized forms, both visually and in terms of adhering to business rules. The richness of formulas and controls available for each field allows us to perfectly meet the client's needs and exceed the capabilities of LumWork. A significant advantage of AppSheet is its management of references, which can be easily managed through Google Sheets or any database, and shared and enriched across multiple applications and forms.

2. The Workflow

LumWork

The strength of LumWork lies in its workflows, which are relatively simple to define and often met client expectations. We start by adding the various validations and the people responsible for them, followed by adding management rules. However, similar to the data controls for the form, the limited availability of formulas for management rules sometimes results in long and suboptimal rules to work around LumWork's limitations.

AppSheet

The flexibility of AppSheet allows us to replicate the workflow functionality by defining an associated data model and using AppSheet bots to implement the workflow logic. Additionally, we can associate users with workflow steps with more options (email address, Google account, Azure AD, etc.).

Even though our clients initially only wanted to replace LumWork, the strength and versatility of AppSheet have often allowed us to go further together. For instance, we were able to surpass LumWork’s notification system and offer interactive emails where users can interact with the application directly from the received email.
